Privacy Policy

Last updated:

This policy explains in plain language what information is collected on the moducut website, in the moducut program and through our support channels, where it is stored and how it is protected. Purposes, legal grounds and your rights are set out in the Personal Data Protection Notice (KVKK).

1. Scope

This policy covers the website at moducut.com, the moducut program for Windows, the license server the program connects to, and our support channels (WhatsApp, phone, e-mail, remote connection). The data controller and how to apply are described in the Personal Data Protection Notice.

This English version is provided for convenience; if there is any difference, the Turkish version prevails.

2. Website forms

Our forms ask only for the information needed to handle your request. In forms that require us to get back to you, either a phone number or an e-mail address is enough.

NewsletterE-mail address

Every form asks you to confirm that you have read the privacy notice; the time of confirmation is stored with your submission. The information you send is saved in our website’s database and is viewable only in the admin panel, which only authorized moducut staff can access.

Your IP address is also recorded with form submissions (except reviews). To prevent many submissions from the same address in a short time, the IP address is additionally kept briefly in server memory. For votes on feature requests, a salted one-way hash of your IP address is stored instead of the address itself.

3. Reviews, stories and photos

Your review is saved as a draft; it does not appear on the website until our team reads and approves it. Reviews you allow us to publish may be published on our website and social media accounts with your name, company or title, city and photo. For customer stories, we submit the final text for your approval before publication.

The photo you upload is reprocessed on our server: it is resized so that its long edge is at most 1600 pixels, converted to WebP, and all EXIF information, including location, is removed. The file is given an unguessable random name; your name does not appear in the file’s address.

To withdraw your publication permission, simply write to us; we will remove your review or story from publication.

4. Download registration and free trial

When you submit the download form, your name, e-mail address and phone number are sent to our license server, while your city is recorded only in our website’s submission records; an account number (HSP-…) and a personal setup code are created for you. The license server also stores your IP address during registration; a copy of the record is kept in our website’s submission records.

The setup code is included in the name of the setup file. When the program is first opened, it uses this code to start the 7-day trial on your computer; this requires an internet connection. The trial is bound to the computer: uninstalling and reinstalling the program, reinstalling Windows or registering with another account does not renew the trial.

5. Information the program sends

The master copy of your projects, drawings and settings is stored on your computer. While connected to the internet, the program communicates regularly with our license server (about once a minute while it is open) and sends the following information as part of the licensing and support service:

Information the program sends
InformationWhenContent
Machine IDWhen the trial starts, on activation and on every connectionOne-way hashes (SHA-256) generated from the Windows machine ID (MachineGuid) and the motherboard’s SMBIOS ID. Raw identifiers are not sent.
Device informationOn every connectionProgram version, operating system version and architecture, computer name. The server also records the connection’s IP address and last-seen time.
Usage and error logsRegularly while connected; accumulated on the computer while offline and sent when a connection is availableProgram start and exit and license status changes; opening, saving, renaming, duplicating and deleting projects; outputs produced (G-code, DXF, CIX, cut list, images, etc.) and error messages. Logs may include project and file names and file locations on the computer; project content is not included.
Hardware and software inventoryOn the first connection after each program start and when the support team requests itOperating system name and version, computer name, system language, time zone, computer uptime, processor, memory, graphics card and driver, display resolutions, free and total disk space, versions of program components. Serial numbers and MAC addresses are not sent.
Copy of your settingsOnce after start-up and whenever your settings change (after about 30 seconds)Machine profiles and tool tables, production line, general and connection settings, hardware and standard dimensions, part and module libraries, shortcuts, theme, list of recently opened projects and project folder location, activity logs in the program. Version history, autosaves and thumbnails are not sent; only their sizes are reported.
Trial and activationWhen the program is first opened and when you enter license codesSetup code, machine ID and device information (for the trial); license code, activation code and machine ID (for activation).
In-app messagesWhen you send a message from the program’s contact formYour name (optional), e-mail address, subject and message; program version and operating system; machine ID if the computer is registered.

These transmissions are used for license verification and support; the current version of the program has no setting to turn them off. If there is any difference between the explanations on the program’s own screens and this policy, this policy prevails.

Over the same connection, the program also checks whether a new version is available. When you start an update, the setup file is downloaded from the license server and its integrity is verified before installation.

6. Information shared during support

To investigate a problem, our support team may request the following from your computer via the admin panel:

  • Diagnostic package: inventory, a copy of your settings, activity logs in the program and license status.
  • An up-to-date copy of your settings or inventory.
  • Copies of your project files: projects in the program’s own project store, the recovery record of open tabs, recently opened projects and .mbz files in your project folder (up to 40 files and 100 MB in total).

The request is carried out the next time the program connects to the server; the program does not ask for separate confirmation before sending. After sending, you see an on-screen notification for the diagnostic package, settings and inventory; the sending of a project copy is recorded in the program’s activity logs. Project files may contain information about your customers (e.g. name, address, dimensions); we review these files only to solve the problem.

The support team can send settings it has prepared for you (e.g. CNC settings specific to your machine) to the program. These settings are applied the next time the program starts, and you are notified.

A remote connection (screen sharing) session is opened at your request and with your consent; during the session we can see the information visible on your screen. You can end the session at any time.

The “Share Logs” and “Download diagnostic log” commands in the program save the diagnostic file only to your computer; whether to send it to us is up to you.

7. Where information is stored

Form submissions, reviews and uploaded photos are kept in the database on our website’s server; download registrations, license information, records from the program and files sent for support are kept on our license server. These servers run on the infrastructure of our hosting provider. Transfers to service providers abroad are described in the Personal Data Protection Notice.

8. Security

The main measures we take to protect your information:

  • Only authorized staff access the admin panel, with personal accounts; passwords are stored as one-way hashes, not plain text, and sessions expire after 12 hours.
  • Hardware identifiers are hashed before they leave the computer; the program’s device token is stored on the server only as a hash.
  • License documents are signed; the program rejects any document whose signature does not match. The integrity of update files is verified before installation.
  • Location and device information in uploaded photos is removed; IP addresses for feature votes are stored as hashes.
  • Payments are made by bank transfer; our website and license server do not take or store any payment card details.

No method provides complete security. If we learn that your data has been unlawfully obtained by others, we will notify you and the Personal Data Protection Board as soon as possible. If you notice a security problem, please write to us.

9. Retention period

We keep information for as long as necessary for the purpose and for the retention periods in the legislation:

  • Form submissions: until your request is concluded and the period needed for a possible dispute has passed.
  • Account, license and sales records: for as long as our customer relationship continues and, after it ends, for the periods required by commercial and tax legislation.
  • Records from the program, inventory, settings copies and support files: as long as needed for the licensing and support service.
  • Published reviews and stories: until you withdraw your publication permission.
  • Cookies: for the periods in the Cookie Policy.

When the reason for retention ceases, we delete, destroy or anonymize the information. If you want your information deleted, you can write to us.

10. Commercial electronic messages

When you submit a form, our calling you or writing to you on WhatsApp or by e-mail is a response to your request. Commercial electronic messages with newsletter, campaign or promotional content are sent only with your approval, in accordance with Law No. 6563; you can stop them free of charge using the opt-out option in each message or by writing to us.

11. Children

Our services are intended for workshops and businesses. We do not knowingly collect personal data from anyone under 18.

12. Changes and contact

We update this policy as the website, the program or the legislation change; the current version and its date are published on this page. For questions, you can write to destek@moducut.com or reach us at +90 540 090 06 29.
